This is my motto whenever I come up against a crazy, event-related issue (and also for general life problems). There are so many details involved in making an event successful, and many times that can be very overwhelming.
I’m sure it comes with years of experience, but I have learned not to let those moments take over my process, and that applies to both pre-event and during the event. You can be as prepared and organized as possible, and something unexpected always happens. The key is to maintain your calm and figure out how to handle it.
The truth is, no one will ever know about a missed cue on stage, a last-minute seat adjustment, or late timing on dessert except for you. When it’s your event it’s easy to get wrapped-up in what went wrong, but in the end, no one cares. It’s really about everyone having a good time and guests walking away with a positive feeling about your organization, family (if it’s a wedding), or company.
Every problem can be fixed, and it’s up to you to figure out the best way to make attendees feel welcome and appreciated. No matter what snafus they encounter, if you and your staff have a smiling, friendly face, they will have the same experience. Freaking out is not the answer. Be Zen, take a deep breath, and solve the problem at hand.
